Job Summary

  • Works closely with the Chief Executive Officer to provide secretarial and administrative support. Schedules meetings, and handle correspondences on behalf of the CEO. Schedules travel arrangements for the CEO and performs other tasks as assigned.

Job Responsibilities
Executive Support:

  • Provide comprehensive executive administrative support to the CEO in managing daily activities, scheduling, and communication.
  • Organizes and maintains electronic and physical filing system
  • Act as a liaison between the CEO and internal/external stakeholders,ensuring effective communication.
  • Screens, direct phone calls and distributes correspondence.
  • Manages the expense report for the CEO.
  • Coordinates and/or leads ad-hoc projects, as and when requested/required.
  • Handles documents requiring the CEO’s approval.
  • Orders office supplies for the CEO’s office.
  • Performs other tasks as assigned by the CEO.

Financial Acumen:

  • Demonstrate strong financial acumen to assist in budget management, expense tracking, and financial reporting.
  • Collaborate with the finance team to analyze financial data, prepare reports, and make recommendations for optimizing financial efficiency.

Strategic Experience:

  • Contribute to strategic initiatives by conducting research, gathering data, and preparing presentations.

Meeting Preparation:

  • Schedules appointments, visitations, and maintains an event calendar and ensures timely reminders are sent to the CEO.
  • Prepare comprehensive briefings, agendas, and materials for CEO meetings, ensuring all necessary information is provided promptly.
  • Attend and document key meetings, capturing action items and follow-up tasks.
  • Drafts correspondence such as emails and letters and ensures follow-up with acknowledgment copies. Travel Management
  • Coordinate and manage complex travel arrangements, including itineraries, accommodation, and logistics for the CEO
  • Confidentiality: Handle sensitive information with the utmost confidentiality and discretion

Qualifications

  • Bachelor’s Degree in any field from an accredited and reputable institution

Experience:

  • 1-4 years as a personal assistant or in a similar role

Knowledge / Skill Requirments:

  • Proven experience as an Executive Assistant
  • Good financial acumen with the ability to analyze financial data and assist in budget management.
  • Strategic thinking and experience in contributing to the development and execution of organizational strategies.
  • Exceptional organizational and time-management skills, with attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Ability to work independently and collaboratively in a fast-paced environment.
